Privacy Policy 

We know that you are concerned about your privacy. The information you provide about yourself or your business, such as name, postal / e-mail address or other data, may be added to our internal data records. All information received from you (either by mail, fax or in any electronic format or in person), however is used internally, by the Renzella Hospitality Group staff members or their agents only.

We will make every reasonable attempt to inform you why we are collecting your information, ensure it is accurate, and to whom we will disclose it and the purpose we intend to use that information.

The Renzella Hospitality Group and its listed entities incorporates the following businesses / trading names

The Renzella Hospitality Group gathers information from its clients and guests to comply with license, statutory and operational requirements for an efficient and safe hospitality operation.

The organization only gathers information relevant to guests’ stays, payment, and database management to ensure we maximize guest comfort during the stay of the guest.

Information is collected through reservations and inquiries, registration upon check-in, checkout and additional information gathered during the guest’s stay. At all times we endeavor to ensure the information is accurate, current and relevant to deliver a better guest outcome.

Information relates to: 

  • Name and First Name
  • Address (home and or work) and contact details
  • Car registration (as to meet parking requirements)
  • Billing / Payment information (includes credit card details)
  • Guests’ likes / dislikes (regular and returning guests)
  • Past details from previous stays (regular and returning guests)
  • Loyalty card information (optional for loyalty program users only)
  • Guest feedback correspondence
  • Guest database (newsletter / recognition program etc)

The Renzella Hospitality Group uses the information gathered either in hard and or electronic copy for the benefit of the guest and smooth delivery of the services and operation of the business only. Most information is an internal matter only, with newsletter, credit and loyalty card information shared with the relevant stakeholders for that purpose only.

The information that you provide us on any ‘Requests for more information", Contact us, Sales Inquiries, Feedback or similar titled means, either in print or electronically (Internet / email etc) will be used for that purpose only and only be accessed by relevant property staff or appointed agents.

Under current legislation, the Renzella Hospitality group needs to retain any receipted financial transaction documentation, and supporting information for no less than seven (7) years (both in hard and /or electronic copy). We will take reasonable steps to ensure that personal and /or health information we hold, which is no longer required is destroyed or de-identified in a secure manner.

NB:

The Renzella Hospitality Group does not make any guest / client data available to external sources, neither on a commercial or complimentary basis. Other than those that have explicitly indicated by ticking the relevant box and their signature on the registration card that their information may be shared with suitable synergetic partners, whose offers may appeal to or benefit the guest directly or indirectly.

Those partaking in the establishments’ or affiliated parties (e.g. credit card, airline, etc) loyalty program or newsletter dissemination do, by being a member/subscriber, and presenting their member/subscriber number /card details etc to gain the membership/subscriber benefits, give the explicit permission to share with these parties the required information for the guest to gain access to the associated outcome.

There are instances where we may need to give information about you to third parties. However, these are strictly controlled on how the information can be used. The type of organization may include reputable credit checking – and /or debit collection organizations.

 

Our policy addresses annual reviews of systems and procedures ensuring an ongoing program of improvement in safeguarding your privacy.

If you believe we have not dealt with your personal information in a manner that complies with the Privacy Act, or you wish to access the information, to review, delete or update your file for future use, you can advise us at any time. Individuals requesting access will be required to establish their identity, and if a third party legally able to request access on behalf of another individual, the bona fides of their right to be provided with access. All requests are to be in writing (either mail/fax or email) – addressed to:
